Job summary

This role involves supporting senior leaders in a fast-paced international biopharmaceutical environment by managing complex calendars, coordinating activities, and ensuring smooth execution of leadership projects.

Qualifications

  • Relevant degree or equivalent experience in a similar role supporting senior leadership in an international organization.
  • Experience in the pharmaceutical or biotech industry is advantageous.
  • Proven experience as a Personal Assistant or Executive Assistant in a complex, fast-paced environment.

Responsibilities

  • Coordinate and manage activities for the Europe & International Leadership Team (EILT), including meetings, agendas, and presentations.
  • Plan and execute meetings, off-sites, and travel logistics.
  • Drive structure through annual planning processes, including quarterly meetings and employee surveys.
  • Manage calendars and ensure alignment across multiple senior stakeholders.
  • Support administrative processes such as contracts and purchase orders.
  • Oversee regional EILT projects, including tracking and KPI reporting.

Skills

Key competencies

Travel

Limited travel primarily related to EILT meetings and off-sites.

  • Strong organizational and coordination skills with attention to detail.
  • Ability to manage multiple stakeholders and priorities simultaneously.
  • High proficiency in Microsoft Office (Outlook, PowerPoint, Excel).
  • Fluency in English, both written and spoken.
  • Strong team player with a proactive attitude.
  • Entrepreneurial mindset and ability to thrive in a dynamic environment.
  • Resilient and service-minded, capable of maintaining calm in busy situations.
