Job summary

This role involves coordinating spare parts and project tasks to support field service operations over a 12-month period. The Spare Parts Coordinator will act as a liaison between various teams, ensuring administrative tasks are executed smoothly and compliance with internal processes is maintained.

Qualifications

  • Completed vocational training or degree in Business Administration, Office Management, or a related field
  • Several years of experience in administrative coordination, preferably in a technical, service, or project-focused environment
  • Proficient in SAP or similar ERP systems
  • Strong skills in Microsoft Office, particularly Excel, Outlook, and Word

Responsibilities

  • Provide timely and accurate administrative support to field service operations
  • Maintain and update service records and databases for data quality and compliance
  • Assist with scheduling and coordination of service activities
  • Handle inquiries and resolve issues according to company guidelines
  • Support the implementation of improved administrative tools and procedures
  • Collaborate with the field service team and assist colleagues as needed
  • Review and validate new project setups in coordination with the project creation team
  • Update SAP data, including project statuses and billing plans
  • Prepare and issue bank guarantees and insurance documentation
  • Manage documentation, invoicing, and shipping for Letter of Credit projects
  • Track outstanding payments to support cash flow and revenue recognition
  • Handle change orders and additional documentation for ongoing projects
