Job summary

The role involves supporting a significant integration project within a regulated international organization, focusing on project coordination, governance, documentation, financial oversight, and stakeholder alignment. The position is primarily about coordination and governance rather than technical implementation.

Qualifications

  • Experience in a Project Coordinator, PMO, Junior Project Manager, or similar role.
  • Proven ability to maintain project plans, documentation, governance materials, and action logs.
  • Strong coordination skills across multiple workstreams and stakeholder groups.
  • Experience with budget tracking, forecasts, and financial reporting.
  • Excellent communication and stakeholder management abilities.
  • Structured, organized approach with attention to detail.
  • Proficient in English communication.
  • Master’s degree, preferably from a technical university.

Responsibilities

  • Maintain project documentation, standards, governance materials, and decision logs.
  • Track the overall project plan across various workstreams.
  • Follow up on milestones, dependencies, risks, actions, and key decisions.
  • Support planning and execution of integration sites.
  • Assist in defining project scope, activities, responsibilities, and delivery plans.
  • Maintain communication with implementation partners and local sites.
  • Consolidate project status updates and prepare materials for governance forums.
  • Coordinate stakeholder meetings and ensure follow-up on agreed actions.
  • Facilitate collaboration between project management, technical teams, and operational stakeholders.
  • Track budgets, forecasts, spend, and burn rates across project workstreams.
  • Maintain transparency regarding financial deviations and risks.
  • Support financial reporting and communication with stakeholders.
  • Ensure project figures and forecasts are updated and documented.
  • Assist in developing post-go-live Operations and Maintenance setup.
  • Define global and local responsibilities for the PI solution maintenance.
  • Coordinate the definition of PI Administrator roles and responsibilities.
  • Support the creation of escalation routes, training materials, and operational documentation.
  • Ensure operational readiness activities are included in the overall project plan.

Skills

  • Strong organizational and coordination skills.
  • Ability to work within standardized project frameworks.
  • Familiarity with IT integration, manufacturing IT, or operational technology projects is a plus.

Education

  • Master’s degree, preferably from a technical university.

Tools

  • Experience with AVEVA PI, OSIsoft PI, or similar process data platforms is advantageous.
