About the role

Job summary

This role involves providing executive support to the Chief Operating Officer (COO) and coordinating activities within the Operations department. The position is essential for ensuring effective management and communication across various teams, contributing to the overall mission of the organization.

Qualifications

  • Bachelor's or Master's degree in a relevant field (e.g., business administration, social sciences, law).
  • At least 2 years of experience in a similar role (coordination, administration, PA/EA).
  • High proficiency in Microsoft 365, particularly PowerPoint, Word, Excel, and SharePoint.
  • Ability to independently prepare processes, presentations, and management materials for senior stakeholders.
  • Strong coordination skills with proven experience in organizing meetings and events.
  • Proactive, service-oriented, and solution-focused mindset.
  • Excellent attention to detail while managing multiple priorities.
  • Proficient in English, both written and spoken, at a professional level.

Responsibilities

  • Assist the COO with calendar management, travel arrangements, meeting preparations, and follow-ups.
  • Coordinate meetings and workshops across the Operations department, including agenda preparation and material distribution.
  • Create high-quality presentations and briefing materials for meetings.
  • Consolidate management and board materials across Operations teams to ensure timely and aligned deliverables.
  • Drive process improvements and manage cross-functional projects within Operations.
  • Support various operational tasks, team activities, and events to ensure smooth execution.
  • Manage stakeholder coordination and facilitate effective communication across teams.

Skills

  • Strong organizational and coordination abilities.
  • Excellent communication skills, both verbal and written.
  • Ability to work in a fast-paced environment with multiple stakeholders.

Education

  • Relevant degree in business administration, social sciences, law, or a related field.
