About the role

Job summary

The role involves providing administrative support to five members of a newly established Extended Leadership Team in a global pharmaceutical company. The Management Assistant will ensure seamless planning, coordination, and logistics to allow leaders to focus on their core responsibilities.

Qualifications

  • 3-5 years of experience as a Management Assistant, Personal Assistant, or in a similar administrative support role.
  • Experience supporting multiple senior leaders in a professional, international organization.
  • Solid experience with travel planning, expense management, calendar coordination, and meeting administration.
  • Excellent English communication skills, both written and spoken.
  • Strong digital skills and confidence using Microsoft Office and collaboration platforms.
  • Danish language skills are considered an advantage but not required.

Responsibilities

  • Coordinate international travel arrangements, including flights, hotels, and logistics.
  • Manage expense reports, reimbursements, and related administrative processes with accuracy.
  • Coordinate calendars and meetings across multiple stakeholders while balancing changing priorities.
  • Provide reliable day-to-day administrative support to senior leaders.
  • Coordinate logistics for leadership meetings, workshops, off-sites, and internal events.
  • Book venues, hotels, and external suppliers while ensuring all arrangements are in place.
  • Handle confidential information with professionalism and discretion.

Education

  • Relevant educational background in administration or related fields is preferred.
