Job summary

This role involves providing comprehensive support to senior leaders within a dynamic environment. The Executive Assistant will manage calendars, travel arrangements, and expenses, while also preparing documents and facilitating meetings.

Qualifications

  • Proven experience as an Executive Assistant or in a similar administrative role supporting senior leaders in a global organization.
  • Background in creative, marketing, or production environments.
  • Strong communication skills with the ability to build relationships quickly.
  • High level of confidentiality and attention to detail.
  • Proactive, collaborative, and positive attitude.
  • Experience in planning and executing meetings and events.
  • Fluency in English, both verbal and written.

Responsibilities

  • Manage daily calendar and inbox for the VP and Head of Experience, including travel bookings and expense management.
  • Prepare for meetings by coordinating pre-reads and collecting necessary information.
  • Attend leadership team meetings, take notes, and prepare agendas and materials.
  • Plan events and workshops, both locally and internationally.
  • Foster networking and information sharing among EA colleagues.
  • Organize monthly Town Halls and participate in ad-hoc projects.

Skills

  • Strong multitasking and organizational abilities.
  • Agile working style to adapt to changing priorities.
  • Proficient in Microsoft Office Suite and Miro.

Education

  • Relevant educational background in administration or related fields is preferred.
