Associate Specialist, Creative Operations

Job summary

This role supports the Creative Studio, an in-house creative agency, by managing operational tasks that facilitate the execution of global campaigns. The position is a stepping stone into Project Management, providing opportunities to take ownership of smaller projects while assisting Project Managers with larger initiatives.

Qualifications

• 1-4 years of experience in traffic management, resource coordination, project coordination, or junior project management within a creative agency or in-house creative team.
• A genuine interest in pursuing a career in Creative Operations and Project Management.
• Exceptional organizational skills with strong attention to detail.
• Proactive mindset with strong problem-solving and communication skills.
• Proficiency in Microsoft 365, particularly Excel, and ability to learn new systems.
• Experience with budget support, purchase orders, and contract administration.

Responsibilities

• Manage the intake process by triaging incoming requests and assigning work to team members.
• Maintain workflow tools to ensure project visibility and manage team workload.
• Lead smaller projects from brief to delivery, ensuring alignment on timelines and deliverables.
• Support Project Managers with larger projects, including timeline management and documentation.
• Drive timely approvals and feedback to keep projects on track.
• Coordinate freelancer administration and support governance activities.
• Contribute to improving project management processes and templates.

Skills

• Strong organizational and multitasking abilities.
• Excellent communication skills for collaboration across teams.
• Familiarity with workflow or project management platforms like Aprimo, Asana, or similar tools is a plus.

Education

• Relevant experience or education in project management or creative operations is preferred.

Tools

• Experience with workflow management tools (e.g., Aprimo, Asana) and Digital Asset Management platforms is advantageous.
