Your New Role:

We are looking for a Process & Product Owner to manage Ramboll’s Document Management process and related products, such as our EDMS. You will be a key driver of excellence in document management, ensuring our client-facing project teams have the right tools, governance, and mindset to deliver outstanding projects for our clients.

In this role, you will be part of an international team based in Copenhagen, collaborating with operations teams within our 7 Global Areas—Buildings, Transport, Energy, Environment & Health, Water, Architecture & Landscape, and Management Consulting—across Europe, the Americas, Asia, and the Pacific. Our team includes strong capabilities within process management for other operational processes as well as experts in UX and enablement. You will join Ramboll’s Global Operational Excellence function, you will work closely with other Group Enabling Functions and be supported by business consultants and our product delivery teams.

Your Key Responsibilities:

As our new Process & Product Manager, Document Management, you will:

  • Manage the continued development and maintenance of global business processes within document management and their related products, such as our global Electronic Document Management System (EDMS).
  • Drive a strong adoption and documentation culture, making it easy for teams to deliver successful, high-quality projects.
  • Act as a connector and influencer—collaborate across process areas such as HSSEQ, Legal, Finance, IT, Clients & Sales and Compliance to ensure requirements are supported seamlessly.
  • Streamline and optimize—simplify processes and workflows, remove bottlenecks, and introduce AI and automation to reduce administrative burdens.
  • Enable machine learning on our data, ensuring our project teams have access to learnings for continuous improvement.
  • Bring people together—work with Process Adoption Leads across our global business areas to ensure adoption and engagement.

Your Starting Point for Success:

  • An enabler – you understand the importance of keeping project documentation structured and safe and know how to turn processes into enablers, not barriers.

What You Bring:

  • Strong background in document management: Ideal candidates may have experience from various fields such as library science, archival management, or knowledge management, with a keen understanding of systems such as ISO 27001.
  • Certified Project Manager (PMP, PRINCE2, or equivalent): This is an advantage but not mandatory. Experience managing projects and improving processes is highly valued.
  • Experience managing and developing teams: You have a track record of coaching teams to success, whether in corporate settings or other structured environments like libraries or archives.
  • Information handling: You understand the principles of taxonomy, metadata, and content management systems, ensuring information is easily accessible and well-organized.
  • Strong problem-solving and analytical skills: You excel at optimizing processes and automating workflows. 
  • Excellent communication skills: You know how to engage, influence, and inspire stakeholders at all levels, from technical teams to executive leadership and you Can read, write, and speak English perfectly
