Location: Copenhagen, Denmark

Role Summary

As a Student Worker in Hafnia, you will be integral to the team and support administrative tasks. Scheduling meetings and events, keeping track of deliverables, being a helpful hand to organize meetings and activities with your colleagues. You will be the glue that connects the entire Hafnia team. As a bonus, if you are also comfortable with social media, you could definitively also contribute to the Hafnia messaging on various channels.

What you will do

  • Support the product lead in execution and preparation of activities, including in-box management, organizing & formatting documents, prioritizing and scheduling. With a key focus on busy periods involving tight deadlines, fast refocusing and adequate preparation necessary ahead of meetings and workshops
  • Act as a trusted point of contact handling sensitive information with tact, as well as tracking action items, and commitments across and conversations, prepare and organize notes & presentations  
  • Own team content and rosters as planning and scheduling event planning as well as ad hoc activities with the team leads 
  • Coordinate and book the teams travel needs (flights, hotels, ground transport) 
  • Support social media presence, with drafts, posts timing and follow up on engagement 
  • Be the teams go to person for ad hoc needs

What you bring to the team

  • Student in Business, Communications, Administration, or other similar fields 
  • Exceptionally organized, detail-oriented, and reliable 
  • Assertive and comfortable “managing up” — reminding, nudging, and helping maintain focus when things get busy 
  • Communicate with speed and precision with a sharp sense of professional judgment 
  • Calm and structured even when priorities shift quickly 
  • Able to work independently and anticipate needs, with ideas for improvement of routines, admin work-flows, reducing friction in operation 
  • Comfortable using a broad toolset: email, calendars, documents, expense systems, and social plat-forms

How you will make a difference

  • Experience supporting senior leaders or executives 
  • Experience with travel booking and expense reconciliation 
  • Interest in operations, leadership, or how complex roles are run day-to-day 
  • Familiar with LinkedIn or professional social media
