Executive Assistant & Project Manager to our Executive Vice President & Head of Energy & Infrastructure (E&I)

We are looking for a proactive and highly organized Executive Assistant & Project Manager to support our EVP. This is a key role for someone who thrives in a fast-paced environment, enjoys taking ownership, and excels at keeping complex tasks and stakeholders aligned.

Your responsibilities:

As our Executive Assistant & Project Manager, you will act as a trusted partner to our Executive Vice President & Head of E&I, ensuring smooth daily operations and enabling him to focus on strategic priorities. You will handle a wide range of responsibilities — from calendar and meeting management to preparing materials, coordinating and participating in projects across segments and functions, and ensuring effective communication across the organization.

Key Responsibilities

  • Establish and drive operational rhythm within the business systems

  • Manage complex calendars, meetings, and travel arrangements

  • Prepare presentations, documents, and meeting materials

  • Coordinate internal and external communication on behalf of our EVP

  • Support with follow-ups, task tracking, and prioritization

  • Participate in project management/coordination and cross-functional collaboration

  • Handle confidential information with discretion and professionalism

  • Support the E&I Management Team

  • Organize events, workshops, and leadership offsites

  • Ensure smooth day-to-day operations and anticipate needs before they arise

The role is split 50/50 between Executive Assistant duties and PMO responsibilities. As Executive Assistant, you will support the EVP by managing time, preparing materials, and coordinating key operational rhythm activities such as Townhalls, and leadership meetings, while helping embed standard work practices and supporting the E&I Leadership Team. In the PMO capacity, you will lead and manage key projects across the E&I organization.

Have You Got What We’re Looking For?

As our new EA & Project Manager, you will bring:

  • Experience as an Executive Assistant, Personal Assistant, or similar role, preferably from a global organization

  • Experience in project management

  • Strong organizational skills and the ability to manage multiple priorities

  • Excellent communication skills in English

  • High level of professionalism, discretion, and integrity

  • Strong proficiency in Microsoft Office and digital collaboration tools

  • Proven experience and strong skills in creating presentation materials in PowerPoint

  • A proactive mindset with the ability to work independently

  • A positive attitude and a service-oriented approach
